The Warehouse Group (TWG) has become a Kiwi household name, and we proudly recognise the role that we play in communities throughout New Zealand.  We are the largest general merchandise retailer in NZ with over $3 billion in sales, and employing over 12,000 people across The Warehouse, Warehouse Stationery, Noel Leeming, Torpedo7, and TheMarket.com. We’re committed to continuing to shift our business radically and have a new vision to make sustainable living easy and affordable for everyone.  We’ve already made good progress, but we are taking things a step further, putting sustainability at the heart of what we do, reducing our impact for the sake of our whanau, for Aotearoa, and for our planet. To ensure we can adapt quickly to ever-changing customer needs, we’ve adopted an agile structure with a focus on collaboration, productivity, and speed-to-market.

We are looking for a Program Coordinator to help with our HR ERP system implementation project.

This is a full-time, fixed-term position from now until April/May 2023.

What we will need from you:

  • Great attitude - the role has structure, with many things in projects priorities can change, and you need to be adaptable
  • Structure - managing both people and budgets. Organising meetings through to managing the accruals of budget/managing costs for Exec presentations etc.
  • Sweep the sheds - doing what you can to keep the team moving in the right directions
  • Meeting management – you will be required to create meetings that the team have requested.
  • Time management – as the HCM is a systems program of work there will be strict deadlines that would have to be met
  • Stakeholder management -  you would need to ensure that there is a constant line of connection between the internal TWG team and vendors
  • Team awareness – there will be times when some members may be at full capacity, it is times like these when you will need to intervene and help distribute the load
  • Get involved - with lots of moving parts there are plenty of opportunities to raise your hand and take ownership of the different tasks to become an SME (system matters expert) of that area
  • Program tools – you will have ownership of tools such as Jira, Confluence and Teams
  • Onboarding – getting new employees/contractors set up with access and tools such as Jira, Confluence and Teams.

Meeting Etiquette:

  • Chair – ensuring that the correct person is hosting the session/meeting
  • Agenda – ensuring that the correct topic is being discussed
  • Duration – it is costly to have a meeting run longer than what it needed, but impractical to stop halfway through due to lack of time
  • Audience – ensuring that you have the right people in the room to have this discussion
  • Rabbit holes/derails – ensuring that the meeting is sticking to the agenda provided and not becoming derailed
  • RAID – capturing every Risk, Action, Issue and Decision
  • Follow up – relaying information back to the time.

What’s in it for you:

  • Program coordination skills – upon the completion of HCM, you will be able to walk away knowing how to manage both people and budgets.
  • Agile way of working – you will get a more in-depth understanding of how agile tools such as Jira and Confluence work along with the agile mindset
  • Onboarding process – with new members joining the program you will have an understanding of how to get them into the business and have them set up with the correct tool (Team, Jira, Confluence)
  • Program Completion- completing a program Is not an easy task but is highly rewarding and sought after.

When you join us, you also get discounts across our brands, great team member benefits, and excellent career development opportunities no matter where you are in the business!  We have a flexible working policy that can see you balance your week with up to 2 days working from home (if you wish).

The Warehouse Group is constantly evolving and growing, this is a great opportunity to grow with us.  If a role like this excites you, then apply online and you might just land yourself the dream job!

The coolest thing about my job is the autonomy I have. Even as an intern I have control over my daily schedule. I can choose if I’m working at the office or from home. I can choose what tasks I prioritise and control the flow of my work.

It was very eye opening to see what goes on behind the scenes to get product to customers, especially on the scale that The Warehouse Group operates at!
